Privacy Policy

Last updated: 7 August 2026 · Applies to the Nexus SoftSphere website and to every Nexus SoftSphere application, on the web and in our mobile apps — Nexus Suites, Nexus HCM, Nexus Inventory, Nexus Projects, Nexus Sales & Billing, NexusOps, Nexus Health, NexusLaw 360, NexusFleet, Nexus Hospitality, Nexus Investec, NexusOne RE, Nexus BSS/OSS and Nexus SoftSphere SaaS.

The short version. Our apps are business software your employer licenses. We do not sell your data, we do not advertise in our apps, and we do not track you across other apps or websites. Inside an app, your employer decides what is held about you and we act on their instructions. You can ask for your account to be deleted at any time.

1. Who is responsible for your data

Nexus SoftSphere LLC ("Nexus SoftSphere", "we") provides subscription business applications. Two different relationships matter, and they carry different responsibilities:

  • Our website and enquiries — we are the controller. We decide how that information is used, and this policy governs it.
  • Data inside a customer's workspace — we are the processor. Your employer (our customer) is the controller. They decide what is recorded about you and for how long. We act only on their documented instructions, under our customer agreement and data processing terms. For questions about records held about you at work, contact your employer first — they hold that decision, not us.

2. What the mobile apps collect

Our mobile apps are a secure window onto your employer's workspace. They collect:

  • Account information — your name, work e-mail, and where your employer records them, your telephone number, job title and photograph.
  • App activity — sign-in events, the network address you signed in from, and an audit trail of actions you take, which exists so your employer can meet audit and accounting obligations.
  • Device and diagnostic information — device type and app version, used to keep the app working.

The apps do not collect your location, contacts, photos, calendar, or advertising identifiers. There is no advertising, and no analytics that follow you to other apps or websites.

3. Why we process it

  • To provide the service you or your employer asked for, and to keep you signed in.
  • To keep accounts secure — including alerting you to a sign-in from an unfamiliar network.
  • To meet legal obligations, and to support our customers' own obligations (payroll, tax, employment and accounting records).
  • To answer enquiries you send us. Marketing only with your consent, withdrawable at any time.

Where the law requires a legal basis, we rely on performance of a contract, our legitimate interest in operating and securing the service, consent, or compliance with a legal obligation.

4. Sharing

We do not sell personal data, and we do not share it for advertising. We disclose it only to: service providers who host, deliver e-mail for, or secure the platform, under contract and only to provide those services; your employer, where the data is in their workspace; and authorities where the law compels it.

5. Where data is held, and for how long

The platform is hosted in Europe. Where data moves between countries we rely on recognised safeguards, including standard contractual clauses.

Enquiry data is kept for up to 24 months. Workspace data is kept for as long as your employer's agreement and their retention policy require — some records, such as payroll and tax, must be kept for years by law.

6. Deleting your account

You can request deletion from inside any app under Support › Account & privacy, or from our account deletion page. Your access ends and your personal profile is removed. Records your employer must keep by law are retained, and entries in audit trails remain against an anonymised user so that records other people rely on stay intact. Confirmed requests are completed within 30 days.

7. Your rights

Subject to local law you may request access, correction, deletion, restriction, portability, or object to processing. Write to privacy@nexussoftsphere.com. If the data sits in an employer's workspace we will pass your request to them and support them in answering it.

Regional terms

  • European Economic Area and United Kingdom (GDPR / UK GDPR). The rights above apply in full, and you may complain to your local supervisory authority.
  • California (CCPA/CPRA). We are a "business" for website data and a "service provider" for workspace data. We have not sold or shared personal information in the preceding twelve months. You may exercise access, deletion and correction rights, and we will not discriminate against you for doing so.
  • Nigeria (NDPA 2023). We process personal data lawfully and fairly and support data subject requests through the same contact address.
  • South Africa (POPIA), Kenya (DPA 2019), Côte d'Ivoire, United Arab Emirates and Canada (PIPEDA). Equivalent rights apply, exercised through the same address.

8. Children

Our applications are workplace software and are not directed at children. We do not knowingly collect data from anyone under 16.
